Note - All references to SSC Campus in the videos below are to Navigate (there was a name change). These videos were recorded prior to some recent software updates. Updated videos coming soon.   


 

Appointment Reports/Appointment Summaries vs. Notes

Appointment Reports and Appointment Summaries are the same thing and this is how advisors save advising notes to a student's profile in Navigate. These "Reports" are related to a specific interaction with the student - appointment, phone call, email conversation. Appointment Summaries ("Appointment Reports") can have attachments. Reports are not visible to the student. Keep in mind all reports/appointment summaries are part of the student's file and students can request a copy of their file.

When you see "Notes" in Navigate, Notes are indeed information about the student and/or can be used to upload a document as part of the student's electronic file. By default, "Notes" in Navigate are visible to the UO advising community and are NOT visible to the student. Advisors can choose to make the note visible to themselves only, such as a personal note about the student that may not be appropriate to share with the entire UO advising community. Keep in mind all Notes are part of the student's file and students can request a copy of their file.

Advisors can also choose to make the note visible to the student. If a note is marked visible to the student, the student must log in to the Navigate website at https://uo.campus.eab.com/ and click on the Reports tab to view the note(s). At this time, the Navigate app does not display notes.

Meeting Type

Meeting Type is required for advisors when entering appointment availability, and for anyone scheduling an appointment in Navigate. Teams, Zoom, Phone, or In-Person are the options for advisors to choose from. Students will see those options when scheduling. For advisors who are entering In-Person availability for on-campus appointments, consider adding virtual and phone options for that same time as well, for students who are off-campus. When working remotely, only enter the Zoom or Teams option (and Phone availability, if your team offers this).

Creating Availability in Navigate

Sync your Outlook (or Google, etc.) calendar first in Navigate to ensure you won't get appointments booked during your busy times. Then, you can create your general appointment availability in Navigate. This general availability schedule works together with the calendar sync. Students will not see your Outlook calendar or any appointment details. 

For example, if an advisor has entered availability records for Mondays and Wednesdays, 10am-2pm, and Tuesdays and Thursdays, 3-5pm, Navigate will allow a student to schedule an appointment within those days/times as long as the advisor's Outlook calendar is also free at that time.

Quick Search

You can quickly search for a student or staff member in Navigate using the quick search - this is the magnifying glass in the top right corner. Enter part or all of the name, UO ID, Duck ID, or email address, and then click on the correct user.

Advanced Search

Once you do an advanced search you can save this search. Then, access it from your home screen by clicking on the black arrow next to "My Assigned Students for [term]." Categories, Tags, Major, Classification (i.e., Freshman), are all useful fields to access in the advanced search.

Running Reports in Navigate

Advisors and some other roles in Navigate have access to Reports in Navigate. This is a way to search for specific report data and export (optional) in .csv format. For more detailed assistance and training on reports, please contact navigate@uoregon.edu.

This video was made prior to software updates but it gives you a general idea of how to run reports in Navigate.
